OST Synchronization Issues in MS Outlook

Do you receive error messages while you synchronize your Outlook with Exchange Server? And do you find some items missing in your mailbox after synchronization? Check whether Synchronization Works for an Outlook Folder (For Outlook 2003 and 2007)

  1. Right-click the folder and click Properties.
  2. Click the Synchronization tab.

Note: If you do not see a Synchronization tab, it means that your Outlook profile is not set to work in offline mode.


  1.  Under the Statistics for this folder, see the fields: Last Synchronized on, Server folder contains and Offline folder contains.

Note: The Last Synchronized on field shows the date and time of last OST synchronization.

  1. Check whether the number of items in the Server folder contains field and Offline folder contains filed are the same. If they are the same, the synchronization is working correctly. Otherwise, the synchronization is not correct.

If the synchronization is not working properly in your profile, check the profile settings and confirm that the Use Cached Exchange Mode option is selected for your Outlook profile.

Set Your Outlook Profile to ‘Cached Exchange Mode’- For Outlook 2003, 2007 and 2010


Step 1

Go to the Tools menu and click E-mail Accounts.

Go to the Files menu, click Account Settings and select Account Settings.

Step 2

Confirm that the View or change existing e-mail account is selected under the E-mail section of the E-mail Accounts dialogue box; click Next.

Click the Data Files tab and confirm that Mailbox – <account name> is set as the default.

Step 3

Confirm that Mailbox – <account name> is selected in the list Deliver new mail to the following location.

Click the E-mail tab.

Step 4

Click the object Microsoft Exchange Server; click Change.

Click Mailbox – <account name> and select Settings.

Step 5

Make sure that Use Cached Exchange Mode is selected; click Next.

Click the Advanced tab and make sure that Use Cached Exchange Mode is selected; click OK.

Step 6

Click Finish; click OK.

Click Close in the Account Settings dialogue box.

Step 7

Exit Outlook; re-open Outlook.
